AI Agent Knowledge Base: Uploading, Editing, and Refreshing Content

How to add files to an AI agent knowledge base, edit, rename, refresh or replace entries, and what the Processing… and Updating… statuses mean.

Written by Fernando Figueiredo

Your AI agent's knowledge base supports three source types: URL, plain Text, and uploaded File. Supported file formats are EPUB, PDF, DOCX, TXT, HTML, and MD, with a maximum size of 10 MB per file.

Only an entry that is ready can be edited, renamed, refreshed, or replaced. While an entry shows Processing…, Updating…, or Couldn't be processed, those options are hidden from its three-dot menu.

How to upload a file to the knowledge base

  1. Open your AI agent and navigate to the Knowledge base section.

  2. Click Add document and select Upload a file from the menu.

  3. In the dialog that opens, drag your file onto the upload area, or click it to open the file picker.

  4. After selecting a file, its name pre-fills the Name field. Edit the name to give it a clearer label if needed.

  5. Click Create to start the upload. A progress bar appears while the file is sent. Once the upload finishes, the new entry appears in the knowledge base list with a File badge and shows Processing… under its name. A message confirms: "Knowledge base added. It's being processed and your agent can use it once it's ready."

  6. Wait until the Processing… label disappears. The list updates on its own, so you don't need to reload the page. From then on your agent can use the entry.

What the status under an entry's name means

Zeeg processes every new document in the background, so a new entry shows Processing… for a short while and your agent can use it once it's ready. After adding a document you can update its content in place — edit a text entry's name and content, refresh a URL entry to re-fetch the latest page, or replace an uploaded file with a new one — without disconnecting the document from any agent. When you refresh a URL entry or replace a file, your agent keeps using the current version until the new one has been processed.

Each entry in the Knowledge base list shows its current state directly under its name:

  • Processing… (with a spinner) — Zeeg is still reading a newly added entry. Your agent can use it once it's ready.

  • Updating… (with a spinner) — a URL refresh or a file replacement is in progress. Your agent keeps using the current version until the update is done.

  • Couldn't be processed — a new entry could not be processed. The reason is shown in red under the name. Your agent cannot use this entry. Its three-dot menu only offers View content, Disconnect from agent, and Delete permanently, so delete it and add it again, for example with a different file or URL.

  • Couldn't update. Your agent still uses the previous version. — the last refresh or file replacement failed. The reason is shown underneath in amber. The entry stays ready and your agent keeps using the version it had before.

  • No label — the entry is ready and your agent uses it. For URL entries, the address is shown under the name.

How to edit a text knowledge base entry

For Text entries, the three-dot menu shows Edit. This lets you update the entry's name and its text content in one step.

  1. In the Knowledge base list, open the three-dot menu on a text entry.

  2. Select Edit.

  3. In the Edit knowledge base dialog, update the name and/or the content. Your agent uses the new content from its next call.

  4. Click Save to confirm.

How to rename a URL or file entry

For URL and File entries, the three-dot menu shows Rename. Renaming only changes the label — the source content your agent reads stays the same.

  1. Open the three-dot menu on a URL or file entry.

  2. Select Rename.

  3. Enter the new name and confirm. The name is only a label in Zeeg — your agent keeps the same content.

How to refresh a URL knowledge base entry

If the web page linked to a URL entry has been updated, use Refresh content to re-fetch and re-index it without deleting and re-creating the entry.

  1. In the Knowledge base list, open the three-dot menu on a URL entry.

  2. Select Refresh content. A message confirms: "Refreshing content. Your agent uses the current version until it's done."

  3. The entry shows Updating… while Zeeg fetches the latest version of the page. The list updates on its own.

  4. Once the label disappears, your agent uses the refreshed content. If the refresh fails, the entry shows Couldn't update. Your agent still uses the previous version. together with the reason, and your agent keeps the previous content.

How to replace an uploaded file

Replace a file entry's content without deleting and re-creating the document. The entry keeps its ID, so all agents connected to it switch to the new file automatically once it has been processed.

  1. In the Knowledge base list, open the three-dot menu on a file entry.

  2. Select Replace file.

  3. In the dialog, drag a new file onto the upload area, or click it to open the file picker.

  4. Click Replace file. A progress bar shows the upload status. Once the upload is complete, a message confirms: "File uploaded. Your agent switches to it once it's processed."

  5. The entry shows Updating… until the new file has been processed. Your agent keeps using the current file in the meantime. If processing fails, the entry shows Couldn't update. Your agent still uses the previous version. with the reason.

How to view knowledge base details

Open the three-dot menu on any entry and select View content. The Knowledge base details panel shows:

  • The entry name and source type badge (URL, Text, or File)

  • Creation date

  • Connected agents — how many of your agents currently use this entry

  • The source content for URL and text entries (file entries show only the metadata, not the stored path)

Frequently asked questions

Which file formats are supported?

EPUB, PDF, DOCX, TXT, HTML, and MD. Each file must be 10 MB or smaller. Unsupported formats and oversized files are rejected before the upload starts, with an error message indicating the problem.

How long does processing take?

Usually a minute or two. The list checks for updates every few seconds while an entry is Processing… or Updating…, so the label disappears by itself. If an entry still shows one of these labels after several minutes, the list stops checking automatically. Reload the page to check again.

Can my agent use an entry while it is still processing?

A new entry that shows Processing… is not available to your agent yet. It can use it once the label disappears. For a refreshed URL or a replaced file, your agent keeps using the current version while the entry shows Updating… and switches to the new content once it has been processed.

An entry says "Couldn't be processed" — what can I do?

Open the entry's three-dot menu and select View content to check the source, and read the reason shown under the entry's name. A failed entry cannot be edited, renamed, refreshed, or replaced, and it is greyed out when you add an existing knowledge base to another agent. Select Delete permanently in its three-dot menu and add the document again, for example with a different file or URL.

An entry says "Couldn't update" — is my agent affected?

No. The entry keeps the previous version and your agent keeps using it. The reason for the failed refresh or file replacement is shown under the entry's name. Once the entry is ready again, you can try Refresh content or Replace file again.

Can I update or replace an uploaded file?

Yes. Open the three-dot menu on the file entry and select Replace file. The entry keeps the same ID, so every agent connected to it switches to the new content automatically once the new file has been processed. For URL entries use Refresh content to re-fetch the page; for text entries use Edit to update the name and content directly.

Does renaming affect how my agent uses the knowledge base?

No. Renaming only changes the label you see in Zeeg. Your agent reads the same underlying content regardless of what the entry is called. To change what your agent actually reads, use Edit for text entries, Refresh content for URL entries, or Replace file for file entries.

Can I share a knowledge base entry across multiple agents?

Yes. Attach it to each agent that needs it. The Connected agents count in the details panel shows how many agents currently use the entry. Any update — rename, content edit, refresh, or file replacement — is reflected across all connected agents. A rename and a text edit apply right away; a refresh or file replacement applies once the entry has been processed.

What is the difference between the three source types?

URL — Zeeg fetches and indexes the content at the web address you provide; use Refresh content to update it when the page changes. Text — you type or paste the content directly; use Edit to update the name or content. File — you upload a local document; use Replace file to swap it out for a newer version. Choose the type that matches where your information lives.
