Form and call trigger workflows now support configurable send timing, an optional send condition, and a Booking host recipient option in team emails. Timing lets you choose exactly how long to wait before the workflow fires; the condition gates each send on a CRM checkbox attribute; and Booking host resolves to the host assigned to the booking at send time.
How to configure send timing
For form trigger workflows that filter by booking outcome — Submissions that ended with a booking or Submissions that ended without a booking — you can now set how long Zeeg waits before checking whether a booking happened and firing the workflow actions.
Go to Workflows and open or create a workflow with a routing form trigger.
In the trigger card, set Runs for to Submissions that ended with a booking or Submissions that ended without a booking.
Click Configure Timing next to the timing field.
Set the delay — for example, 60 minutes after submission.
Click Save.
Zeeg checks for a booking once the configured timing is reached. Make sure the delay gives submitters enough time to complete a booking — if the window is too short, people who book after the check are treated as "not booked" for that workflow run.
How to add a send condition
A send condition lets you gate each workflow action on a CRM checkbox attribute. When set, an action fires only for people who are CRM contacts with that checkbox enabled at the moment the send runs. Anyone who is not a contact, or whose checkbox is unchecked, is skipped — no message is sent and no retry is attempted.
Open a form or call trigger workflow in the workflow builder.
Open an action card and find the Only send if checked section.
Click Search checkbox attributes and select the CRM checkbox attribute you want to use as the gate.
Save the workflow.
Each message goes out only if the person is a contact with this box checked. Anyone who isn't a contact is skipped. The condition is evaluated at the moment the send fires — changes to the checkbox value between form submission and send time are reflected.
How to send a team email in a form or call trigger workflow
Form and call trigger workflows include a Send an email to host action that delivers to the workspace members and teams you choose. When the workflow is configured to run for bookings, you can also add Booking host as a recipient — this resolves at send time to the host Zeeg assigned to that specific booking.
In the workflow builder, add or open a Send an email to host action.
In the Send to field, open the recipient picker.
Select workspace members, teams, or — when available — Booking host. You can combine these in any mix. To add external email addresses, click Add email address in the picker.
Compose your email and save the workflow.
If the lead isn't a CRM contact or has no owner, the workspace owner is used instead. Reply-to, CC and BCC for these emails come from each scheduling page's notification settings — configure them under the Notifications tab of the relevant event type.
Frequently asked questions
What happens if a submitter books after the timing window closes?
Zeeg evaluates the booking outcome exactly when the configured timing fires. If a submitter completes their booking after that moment, they are treated as "not booked" for that workflow run. Set a timing window that gives submitters enough time — typically at least 30–60 minutes, depending on your booking flow.
Can I set a different condition on each action in the same workflow?
Yes. The Only send if checked condition is configured per action. Each action in the workflow can use a different checkbox attribute — or no condition at all — independently of the other actions.
Who is the "Booking host"?
Booking host is resolved at send time to the workspace member Zeeg assigned as the host for that specific booking. On round-robin scheduling pages, this is the member Zeeg picked for that slot. The Booking host option is only shown for form or call trigger workflows configured to run for bookings — it does not appear for Every submission runs.
Where do I configure reply-to, CC and BCC for the team email?
For booking-triggered team emails, reply-to, CC and BCC are taken from the scheduling page's notification settings. Go to Event types, open the event type, and open the Notifications tab to configure these. See Reply-to, CC and BCC for booking emails for full instructions.
Who does the AI phone agent call?
The calling target depends on the trigger type. For booking triggers, the agent calls the invitee. For form triggers, the agent calls the person who submitted the form. For call triggers, the agent calls the caller back. For CRM date triggers, the agent calls the contact.
