With workflows in Zeeg, you can set up automatic reminders and follow-up notifications for your events.

Step 1: Create a workflow

Go to Workflows in your Zeeg dashboard and click on Create workflow.

Step 2: Select the workflow type

Do you want to set a reminder, a follow-up message, a survey or do you want something more customized? Pick your favorite.

Step 3: Customize your workflow

  • Give your workflow a name

  • Choose who it belongs to – yourself, a team, or your organization

  • Choose which scheduling pages it applies to

  • Choose when it triggers (and how long before/after)

    • new scheduled event

    • before the event

    • when it starts

    • when it ends

    • when it's cancelled

    • when it's a no-show

  • Define the action - email and/or sms to the host and/or the invitee

  • Customize the message

SMS reminders and credits

Sending SMS reminders requires credits. With any paid plan, you get 10 SMS credits per month for free.

You can also purchase an additional SMS bundle including 1000 SMS credits for €9.99/month (net):

  • You can enable automatic renewal every month

  • You can enable automatic refill when credits run out

  • Or enable both options

Unused SMS credits expire at the end of each month.

Once you’ve set up your reminder workflow, here are some common use cases to help you get started effectively:

  • Client meetings: Send a reminder email 30 minutes before a scheduled consultation or coaching session, ensuring the client shows up prepared and on time.

  • Sales calls: Remind both the host and the invitee ahead of a discovery call or demo, reducing no-show rates.

  • Interviews: Send tailored reminders to candidates and interviewers with relevant details like the meeting link and interviewer's name.

  • No-shows follow-up: Trigger a message when an invitee is marked as a no-show, including a link to reschedule.

These examples can help you use workflows not only to reduce no-shows, but also to enhance the overall scheduling experience for everyone involved.

Set up reminders right after a test booking

After a test booking, Zeeg offers to set up two things for you in one short dialog: your own booking confirmation and reminder emails for your invitees. You don't need to open the Workflows page for this.

Reminder emails are created as a workflow, which requires the Professional plan or higher. If your plan doesn't include them, the dialog shows an Upgrade button instead. You can only add a reminder for a scheduling page that belongs to you, or to a team or organization you manage.

  1. Open Get Started and, in the Scheduling group, click Test booking.

  2. Choose the scheduling page you want to test and book a time on it, just as an invitee would.

  3. Once the booking is confirmed, the dialog asks What do you want to set up? Tick Customized confirmation, Reminders or both, then click Next.

  4. Customized confirmation: write your own subject and message. Click Preview to see the email the way your invitee will, with example values in place of the variables, then click Save.

  5. Reminders: under When should we remind your invitees?, pick one or more times (for example 1 day or 1 hour before), or choose Other to enter your own. Under For which scheduling pages?, choose All or Individual and click Next. Pages that already send reminders are marked Already sends reminders and are left out when you choose All, so nobody gets two reminders.

  6. Check Your reminder email, adjust the subject and message if you like, and click Save. Zeeg creates an active reminder workflow.

  7. On All set, you see what was set up. Click Change to edit an item, Test again to make another test booking, or Done to close the dialog.

Frequently asked questions

Why didn't the dialog appear after my test booking?

The dialog only suggests what's still missing. If the scheduling page already has your own confirmation and an active reminder workflow, you only see a short confirmation message. If just one of the two is missing, you only see that option.

Why don't I see the Reminders option?

Reminders need a plan that includes workflows, and you need to be allowed to create a workflow for the scheduling page's owner. For a team or organization page, that means being an owner or admin. You can still set up a reminder on the Workflows page, as described above.

Where do I find the reminder afterwards?

It's a regular workflow. Go to Workflows in your dashboard to edit, deactivate or copy it. See How to create workflows.

How far ahead of the booking can a reminder be sent?

You can choose up to 20 different times per reminder, each up to 90 days before the booking.
