Hosting group events with multiple invitees

Group events are helpful when you want multiple invitees to attend an event at once, such as classes or webinars.

Written by Fernando Figueiredo

A group event is a one-to-many scheduling page: one Zeeg host to many invitees.

Group events are helpful when you want multiple invitees to attend an event at once, such as classes or webinars.

Creating a Group scheduling page is very similar to creating a One-on-one scheduling page, but it introduces the concept of "attendees".

  1. From your Scheduling Pages dashboard, click on 'Create new'

  2. Click on Group events

  3. Enter the details of your scheduling page

  • Title for your group event

  • Duration of your group event — pick one duration from the dropdown. Choose a preset (15 min, 30 min, 60 min, etc.) or select Custom to enter your own value in minutes or hours. Group events support exactly one duration.

  • Number of attendees that can schedule the same time slot and join one specific event. If you set it to 8, then up to 8 attendees can book a single time slot (eg. 8 attendees can book it at 4 p.m.)

  • Location of the event that all the attendees will join — click Add event location to open the location picker (see Adding a location below).

  • Color of the scheduling page

  • Language of your page

  • Descriptions or instructions for your attendees

  • Unique link for your group event scheduling page

4. Click on Next and then you can define your availability for the group event as usual with other types of scheduling pages

If it's a one-off group event, such as a webinar on a specific date and time, you can set Custom Hours for the availability, remove the availability of all days, and Add date override for a specific date and time.

5. You can then preview the page on View live (top of the page). If you like what you see, enable your page and start sharing!

Setting the duration

Group events support exactly one duration. In the event type editor, the Duration field shows a single dropdown — choose a preset value or select Custom to open a dialog where you type your own number and toggle between minutes and hours.

The Duration dropdown is locked when at least one attendee has already booked a spot for a session that still has free spots remaining. This ensures all future attendees join the same duration as those who already booked. The lock lifts once that session has no active bookings.

Adding a location

Click Add event location to open the location picker. The dialog works in two steps:

Step 1 — Choose a provider. A card grid lists all available location types. Click the card that matches where your event will take place:

  • For video conferencing integrations already connected to your Zeeg account (Zoom, Google Meet, Microsoft Teams, Webex, and others): clicking the card immediately adds that integration as the location — no further input needed.

  • For integrations you have not yet connected: a Connect now button appears on the card. Click it to open the integration settings, authorize the connection, then return to the event type editor to add the location.

  • For Host will call Attendee phone calls: clicking the card immediately adds the location — no phone number entry is required.

  • For In-person, Attendee will call Host phone calls, WhatsApp, Whereby, and Custom locations: clicking the card advances to Step 2.

Step 2 — Enter the details. Fill in the required field (street address, phone number, or link, depending on the location type). You can also add optional notes in the Add details (optional) field. Click Add to save the location.

The first location in the list is automatically marked as Default. Drag locations to reorder them. To edit an existing location, click its row, update the fields in the dialog, and click Replace.

Frequently asked questions

Can I add multiple durations to a group event?

No. Group events support exactly one duration to ensure consistency for all attendees booking into the same session. If you need multiple duration options, use a one-on-one or round-robin scheduling page instead.

Why is the Duration dropdown greyed out?

When at least one attendee has already booked a spot for a session that still has free spots, both the Duration and Location settings are locked. This prevents new attendees from booking into a session under different conditions than those already confirmed. The lock lifts once no active bookings remain for that session.

A location card shows "Connect now" — what should I do?

The video conferencing tool has not yet been connected to your Zeeg account. Click Connect now on the card to open the integration settings, complete the authorization, and then return to the event type editor to select it as a location.
